Employee Schedule Management for Financial Services
Hybrid work became standard, a financial services organization needed clearer visibility into where employees worked each day. At the same time, rising regulatory expectations increased the need for accuracy, governance, and audit readiness. Leadership wanted a dependable insight into staff availability without adding extra administrative work.
IncWorx delivered a secure scheduling solution built on the Microsoft Power Platform. As a result, the organization improved workforce visibility, strengthened compliance, and reduced manual coordination.
Technologies Supported
- Power Apps
- Power Automate
- Power BI
The Challenge
Inconsistent Updates Created Gaps in Coverage and Compliance
The organization first relied on manual tracking and informal updates to manage schedules. Teams updated information inconsistently, so managers often worked with outdated or incomplete data. As a result, they spent extra time confirming coverage across departments and resolving gaps that better tools could have prevented. This created daily friction and made it harder to plan with confidence.
Regulatory requirements added even more pressure. The client needed a clear record of system access and user actions to meet strict oversight standards. Administrators also needed controlled access to manage employees and assign delegates for executive calendars. They required this level of control while still protecting sensitive information and avoiding security risk.
The Solution
A Centralized Scheduling App That Simplifies Planning
IncWorx created a responsive Power App that centralizes scheduling across a rolling three‑week window. The app displays the previous week, the current week, and the upcoming week to support planning and oversight.
Next, the solution uses an Agreed Schedule list to define each employee’s standard work location by weekday. Every Sunday, an automated flow creates schedule entries based on those agreements. Employees can then adjust their schedules for the next two weeks to reflect travel, remote work, or time off.
Users can view schedules by individual or across the organization. Employees confirm their schedules weekly, and an automated reminder runs every Thursday to support timely updates. Each Friday, the system generates a PDF calendar that shows employee locations for the next two weeks. Leaders use this summary to plan staffing and coverage with confidence.
To support governance, the app includes administrative screens to onboard new employees, remove departing staff, and manage delegates for executive calendars. The solution also captures login activity and user actions to support audit requirements and internal controls.
IncWorx deployed the unmanaged solution in the client’s Sandbox environment. Production runs in the default environment to align with tenant governance and compliance standards.
This approach allowed the client to view all schedule in one place and generate accurate weekly plans automatically. It also helped employees update and confirm their schedules with timely reminders. Leaders gained clear insight into upcoming coverage through weekly PDF summaries, and administrators strengthened governance through controlled access and detailed activity tracking.
The Outcome
Stronger Accuracy, Better Planning, and Improved Compliance
The organization gained a single source of truth for employee location and availability. Managers now plan staffing with greater confidence and spend less time validating schedules. Employees also manage and confirm their schedules more consistently.
Automated schedule creation and reminders improved data accuracy and reduced administrative work. Weekly PDF summaries gave leadership a clear and reliable view of upcoming coverage. Audit logging and role‑based administration strengthened security and supported regulatory expectations common in financial services.
The Conclusion
A Modern Scheduling Approach Built for Financial Services
IncWorx helped the client modernize employee scheduling without adding complexity or risk. By using the Power Platform, the organization improved visibility, accountability, and compliance while still supporting flexible work patterns. This shift also gave teams a clearer view of daily coverage and reduced the effort required to manage updates. As a result, leaders gained confidence in the accuracy of schedule data, and employees experienced a more consistent process. Today, the client manages workforce schedules with a scalable and secure solution built specifically for the needs of financial services.
