IncWorx Automates & Streamlines, Saves HOLT CAT Over One Million Dollars

HOLT CAT is a leader in heavy caterpillar equipment, machines, engines, caterpillar equipment product.  

HOLT CAT needed a partner who could help bring stability to their SharePoint world in the short term while working closely with them to lay the strategic groundwork for their future collaboration and automation needs.

“Designed” and built in the small team bubble that many SharePoint 2007 environments were, HOLT CAT’s farm was under maintained, under supported, and most importantly underutilized by the business. Over time, users had become frustrated with what it the platform provided and had moved away from it.

The goal was simple, find a partner who could not only provide short term maintenance and break fix capabilities, but also provide the broad set of skills and experience necessary to bring the future vision to life, including; design and architecture, SharePoint 2016 deployment, SharePoint 2007 to SharePoint 2016 migration, custom SharePoint branding, workflow and process automation – including Nintex, and long-term SharePoint Support options.


HOLT CAT chose IncWorx as their strategic partner, and joined the SharePoint Support Services (s3) program. The team immediately went to work determining how to improve performance of the platform and bring a level of confidence back to the business users. While taking these steps, the IncWorx team also began discussions around the deployment of and migration to a SharePoint Server 2016 environment. The goal was to move to a modern and fully supported environment that at the same time would provide a much broader feature set to an organization looking for way to improve automation and improve efficiency across its teams.

After meeting with stakeholders, an appropriate architecture was designed and plans for the deployment were launched. SharePoint Server 2016 was deployed according to best practices and the IncWorx design and development team went to work building a custom branded intranet, that provided all the collaboration features of SharePoint but maintained the bold look that identifies HOLT CAT. 

While the SharePoint platform was getting a major upgrade, the business users were focused on how they could use the new technology to their benefit. One such process was automating the complex process of tracking equipment loaned to their clients while original equipment is repaired. For HOLT CAT, this was a manual process that involved multiple email approvals, manual calculations and Excel spreadsheets. IncWorx was asked to automate and streamline the process.

Utilizing the collaboration features of SharePoint 2016 and the powerful capabilities of Nintex Workflow and Nintex Forms, IncWorx to provide a 100% electronic solution to this process. The solution simplified the process of capturing vehicle rates, while automating numerous complex calculations, and provided a robust and dynamic approval workflow which ensured everyone involved had an opportunity to review and approve their part of the process. IncWorx took HOLT’s design and worked with them throughout the process to streamline what had previously been a cumbersome and manual process. In the first year alone, the new SharePoint based process saved HOLT CAT over 1 million dollars in reimbursement money that was being lost with the manual “paper” process.
